Privacy Policy

What we collect when you use this site, why we collect it, and how to ask us to delete it.

Who we are

TheRankHQ is a search and website agency operating from L-37, Gautam Vihar, Delhi 110053, India. We trade and are registered under the name TheRankHQ. We decide how the personal data described here is used, which under India's Digital Personal Data Protection Act 2023 makes us the data fiduciary, and under the UK and EU GDPR the data controller.

What we collect

We collect only what the site needs to work and what you choose to send us.

  • When you use a form. Your name, email address, phone number, website address and whatever you write in the message. Forms are how we quote work, so we keep what you send.
  • When you subscribe. Your email address, and the date you subscribed.
  • When you simply read. Google Analytics records pages viewed, roughly where in the world you are, the device and browser, and how you arrived. Our server also keeps short access logs, including IP addresses, so we can see errors and abuse.

We do not ask for payment card details on this website, and we do not knowingly collect anything from children.

Why we use it, and on what basis

  • To answer you. When you send an enquiry you are asking us to get in touch, so we reply and, if it goes further, we quote.
  • To send the newsletter. Only if you asked for it, and every email carries an unsubscribe link that works.
  • To keep the site working and honest. Analytics and logs tell us what is slow, what is broken and what is being attacked. This is our legitimate interest in running the site, and you can refuse the analytics part.
  • To meet our own obligations. Tax and accounting records have to be kept whatever anyone would prefer.

We do not sell personal data, and we do not share it for anyone else's advertising.

Cookies and analytics

A cookie is a small file a site leaves in your browser. This site uses two kinds.

  • Necessary. Session and security cookies that let pages load and forms submit. Without them the site does not work, so they are always on.
  • Analytics. Google Analytics, which counts visits and measures which pages do their job. It sets identifiers that let it tell one visit from another.

Analytics cookies are not necessary, so in the UK, the EU and anywhere with the same rule, we ask before they are set and you can decline without losing anything. You can also clear or block cookies in your browser, and Google publishes an opt-out add-on for Analytics.

Who else sees it

We keep the list short, and everyone on it is bound to use the data only for the work we ask of them.

  • Google Analytics, for the measurement described above.
  • Our email provider, which carries the messages we send and receive, including the newsletter.
  • Our hosting provider, which runs the server this site sits on.
  • Professional advisers and authorities, where the law requires it.

Where it is stored

This site runs on a server we control in the United States, and our email and analytics providers operate internationally. If you are in India, the UK or the EU, that means your data is transferred abroad. We rely on our providers' standard contractual clauses for those transfers, and we keep the amount of data involved as small as the work allows.

How long we keep it

  • Enquiries that do not become work: 24 months, then deleted.
  • Client records, including contracts and invoices: as long as the law requires us to keep accounts, currently eight years in India.
  • Newsletter subscriptions: until you unsubscribe.
  • Server logs: 30 days.

Your rights

Wherever you are, you can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Depending on where you live you may also be able to object to a particular use, ask us to restrict it, or ask for your data in a portable form. If you are in California, you can ask what we collected in the past twelve months and ask us to delete it, and we will not treat you differently for asking.

Write to info@therankhq.com and we will answer within 30 days. If we cannot do what you asked, we will say why.

Complaints

If we have not put something right, write to our grievance contact at info@therankhq.com, marking the subject "Privacy grievance". You can also complain to the Data Protection Board of India, or to your own supervisory authority if you are in the UK or the EU.

Changes

When this policy changes we update the date at the top. If a change affects how we use data you have already given us, we will tell you directly rather than quietly editing the page.
